TL;DR: Calendar-only days hide the work. Todo-only lists hide the meetings. Two windows is the bug. Calendar in one, list in the other, and ADHD working memory has to do the join every glance. That join is the expensive operation. Put them on one surface or you will keep planning a day that already ended at 11am.

Why does a Google Calendar-only day fail ADHD?

Google Calendar is excellent at showing that Tuesday is already gone. Color-coded holds, a 1:1 you forgot you accepted, the "focus time" block you painted last Sunday. For time blindness that external grid is not optional. The failure is what the grid is not.

A meeting is an event. It happens whether you check a box. "Write the brief," "send the invoice," "move the body" are not events. They do not get a room on the calendar unless you put them there, and ADHD optimism will put them in a 25-minute crack between Zoom and lunch, then feel ambushed when the crack was never a slot.

Calendar-only also trains a bad habit: category blocks. "Deep work 9–11." That is time blocking as interior design. It tells you the kind of hour, not the task. An ADHD brain still has to pick a starting action inside the painted rectangle. Most people open Slack in it.

Use Calendar.app or Fantastical if the job is invitations, travel time, and a week you can show a colleague. Skip calendar-only if you keep looking at a full Tuesday and still not knowing what the one next action is.

Why does a todo-only list fail next to meetings?

The opposite failure is a 19-item Today that cannot see the six meetings. Reminders, Things, a pretty TickTick list — capture is fine. Capture next to an invisible calendar is how you get "I'll do it this afternoon" while the afternoon is already three holds and a commute.

A list does not show duration. "Draft the deck" and "reply to Sam" look the same height. On a day with 90 minutes of actual white space, that is a lie. ADHD task paralysis loves that lie: the list is long, the day feels empty, starting any one line feels like picking a life.

Todoist-plus-Google-Calendar and TickTick's calendar pane try to paper this over by putting a grid in the same app. The grid is still usually a view of the same pile — every dated task, every repeat, every habit — not a short Today that is allowed to ignore the rest. If the calendar pane shows fourteen chips, you did not get a plan. You got a heatmap of guilt.

Split the rooms. Dated work for this day lives on Today, next to events. Standing intentions stay in Loops until you pull a copy. The week board is where "this week" has to pick a column. That split is the weekly method. This post is the daily join: list plus meetings, one glance.

How do you keep Today short when the calendar is already full?

Count the gaps first. Not the tasks. Open the day as a time grid. If you already have four hours of meetings, Today is allowed to hold two dated items, not twelve. Everything else is a Loop or it is next week's problem.

A working rule that survives Thursday:

  1. Meetings stay events. Do not clone "1:1 with Priya" into a todo. You will check it off by surviving the call, then wonder why the list still feels like a scoreboard.
  2. Today is a menu of what fits the leftover minutes. Critical / Important / Nice to have is enough. Nice to have can collapse so it stops shouting.
  3. Pull at most one loop. Pressing / Important / Backlog exist so "be someone who journals" does not sit on Today forever. When a real gap appears — a cancelled hold, an unusually empty late afternoon — pull one copy onto the day. The loop stays. It is not a calendar repeat.
  4. Yesterday does not get to swallow today. Spill stays on yesterday or goes back to Loops. Migrating the blob is how a short list dies by 10:15.

If you cannot say the day's Critical list in one breath, it is not Today. It is the inbox again.

How do you timeblock without optimistic packing?

Optimistic packing is scheduling 6.5 hours of work into 4 hours of white space because the blocks looked tidy. ADHD planning fails here more than it fails at capture.

Timeblock only what has a named task and a real gap. Drag that one Critical item onto the grid, around existing Google events. Give it less time than a neurotypical tutorial would. A 50-minute box you will actually start beats a 3-hour "write the strategy" monument you will tiptoe around.

Do not timeblock the Nice to have list. That list is a menu for leftover energy, not a promise. Do not paint "email" across every leftover 15. Those slivers are buffers. ADHD transitions are expensive; back-to-back blocks with no air is how the third one never starts.

If starting is the failure, the block is a timebox: the clock is the commitment, not "finish the deck." If distraction is the failure, start a focus session on the Mac app once the block exists. The web app will show the same plan; it will not lock the laptop.

  • Meetings in, on the same surface as Today. Connect Google and events from the accounts you add render on the Today time grid, next to the dated list. That is the join calendar-only and todo-only both miss.
  • Tasks out, when you schedule them. Drag a Today task onto a gap and Focuh creates a Google event (the Focuh calendar on the account you set as the sync target). Move or resize that block and Google updates. Unschedule it, or send the dated task back to Loops, and the Google copy is deleted so you do not leave ghost holds.
  • Same plan on Mac and web. Download for Mac or launch the web app. Both sign in with a free Clerk account. Today, Week, Loops, Goals, and the calendar stay in sync because of that. There is no local-only mode.

What does not

  • Outlook, Apple Calendar, Fantastical as a source. Google Calendar only. If your life is Exchange + Calendar.app, this is the wrong join.
  • Meetings becoming todos. An event you created in Google stays an event. It shows on the grid. It does not sprout a checkbox. Do not expect Focuh to ingest Zoom titles as tasks.
  • Jira, Asana, Linear, Gmail. No ticket pull. That category is Sunsama — premium, guided ritual, many ingest pipes, no system-wide Mac block.
  • Loops and Goals as calendar spam. Loops are undated on purpose. Goals are a tiny horizon checklist (week / month / year / decade), not a second Google calendar.
  • Your calendar stored in our database. Events are fetched while you use the app and cached in the browser. Refresh tokens are stored encrypted. Ciphertext does not ship to the client.
  • Laptop blocking from the browser. System-wide websites and apps: Mac app only, during a focus session, via Accessibility. Plan on web; block on Mac.

Walk away if any of these are the actual requirement:

  • Outlook-only or Apple Calendar-only. We do not speak those. Stay in Calendar.app, Fantastical, or a planner that does.
  • A full calendar client with no planner. Invites, travel time, shared family calendars — that is not Today-next-to-meetings. Use a calendar app.
  • iPhone-first. There is no Focuh iOS todo list. Reminders or Things win that constraint.
  • Windows. Mac app plus web. The web app plans, including the calendar; it does not pretend to be a Windows desktop blocker.
